The Facilities Manager is a lead member of the Safety, Facilities, and Operations management team, supporting ongoing maintenance and academic programming on all Naropa University campuses. The Facilities Manager is responsible for maintaining the buildings and grounds for the space the University occupies. The tasks involved are 10% office management and 90% direct fieldwork in support of University, Students, Staff and Faculty. The Facilities Manager also is performing maintenance and landscape functions, as well as coordinates with the management team to support the University. Work is supported by record-keeping, collaboration on documentation, technical support, attending team meetings, shift coverage, and other duties as assigned. This person must work safely and take into consideration the safety of the people around them. As an essential employee, this position will be required to report to work even when normal operations have ceased, including inclement weather closures and other crises that arise. This position will primarily work 7:00am-3:30pm, Monday through Friday, answer an On-Call Phone in rotation.
Job Duties & Responsibilities
•Effectively embodies the Caretaker Philosophy and teach it through writing, in small group settings, staff trainings, and individual encounters.
•Acts as a resource for the department and community, and facilitates appropriate response for concerns brought forth.
•Ensures a safe working environment while supervising the Facilities department and employees.
•Manages the Maintenance Direct and Preventative Maintenance program modules.
•Maintains the ADA Data table and coordinates with Human Resources and Student Affairs to provide ADA accommodations
•Maintains square footage data table.
•Manages building maintenance and landscaping efforts on Naropa campuses while holding Naropa’s commitment to sustainability and climate neutrality as core values.
•Manages and performs Snow Crew operations.
•Manages Naropa’s equipment maintenance program and FF&E purchases.
•Enforces fire safety policies, including performing residence hall safety checks.
•Acts as a responder in urgent/emergent situations, like inclement weather, and utilizes proper judgment in calling for backup and support.
•Assists in the unlocking of campus in the mornings.
•Identifies and reports campus caretaking needs, such as cleanliness, landscaping, and maintenance issues.
•Acts as backup scheduler for Assistant Director of Campus Safety and other facilities manager.
•Ensures departmental coverage of all active campus locations.
•Other special projects as assigned.
Maintenance, Safety and Documentation
•Performs routine maintenance work in the following building trades: electrical, plumbing, carpentry, HVAC, and painting.
•Trains safety along with maintaining accurate training records based on safety hazard analyses for all shop tools.
•Complete assigned departmental work requests including classroom and event setup.
•Performs office moves and the moving of furniture and equipment at various campus locations.
•Communicates daily all priority program request and work order issues with the Facilities team.
•Maintains strict confidentiality of information including access codes, incident reports, and investigation details.
•Reports via email or IR’s any qualifying incidents under the Clery Act.
•Collaborates in the creation of job descriptions for staff positions.
•Responds to alarms, calls of distress, and routine calls for service.
•As a University-identified Essential Employee, participates in Emergency Response as necessary.
•As a University-identified Essential Employee, carries the 24/7 phone on a rotating weekend schedule with other personnel.
•Enforces restraining orders and trespassing interventions.
As Caretakers we are non-confrontational. We observe and report. We de-escalate situations vs. escalating them or making them more difficult. We try to keep a non-biased point of view. We have to be able to differentiate between uncomfortable and unsafe situations. At no time are we to get physical with anyone. Our goal is to assess situations and act accordingly. Caretakers have to accurately assess what is unsafe and respond accordingly by calling local emergency responders, if necessary, evacuating, sheltering in place, de-escalating, or providing emotional support along with comfort for individuals needing help.
What Naropa Requires…
•5 years of experience in facilities, maintenance or other similar positions.
•Advanced knowledge of the following building trades required: HVAC, electrical, plumbing, carpentry, painting, and installation and repair of drywall systems
•Understanding of Job Hazard Analyses
•Ability to work safely and abide by Naropa Best Practices
•Solid communication and organization skills
•Strong attention to detail
•The ability to take direction, follow instructions, and meet deadlines
•Basic understanding of energy efficiency, conservation, and sustainability
•Basic computer literacy (Microsoft Word, Excel, Outlook)
•Ability and willingness to work evenings/weekends with emergency call-back
•Valid, unencumbered driver’s license
•Willingness to comply with and wear the caretaker apparel provided by the department
•Be willing and able to obtain and maintain certification in CPR, First Aid, and Universal Precautions
•An appreciation for contemplative education and the mission of Naropa University
•Ability to complete an online, 10-hour OSHA training course
